Nexus BI ("Nexus", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website, contact us, or otherwise interact with us, and describes the choices and rights available to you.
1. Who we are and scope of this policy
Nexus is a Data and AI consultancy. For the purposes of applicable data protection law, Nexus BI is the controller of the personal information described in this policy.
This policy applies to personal information we process in connection with our website (the "Site"), inquiries submitted to us, our business communications, and our marketing activities. It does not apply to personal information that we process on behalf of our clients when delivering professional services. That processing is governed by our agreements with those clients, and individuals should direct questions about it to the relevant client.
2. Information we collect
Information you provide to us
We collect information you choose to give us, including when you:
- Submit an inquiry through our contact form: your name, work email address, work phone number, company, job title, area of interest, and the content of your message.
- Correspond with us by email or other channels: your contact details and the content of your communications.
- Engage with us professionally, for example at meetings or events, or as a representative of a client, prospective client, or supplier: business contact information and details relevant to the relationship.
Please do not submit sensitive personal information (such as health information, government identifiers, or financial account details) or confidential business information through the Site.
Information collected automatically
When you visit the Site, our servers automatically record technical information that your browser sends, such as your IP address, browser type and version, operating system, referring URL, pages requested, and the date and time of each request. We use this information to operate, secure, and maintain the Site.
We also use Microsoft Clarity, a website analytics service provided by Microsoft, to understand how visitors use the Site. Clarity collects information such as the pages you view, how long you spend on them, clicks and scrolling, the site that referred you, your approximate location (country or region), and your device and browser type. Clarity can also produce recordings and heatmaps of how pages are used. Text you type into form fields is masked before it is recorded. We use this information to improve the Site, and we review it to understand how pages perform, not to identify individual visitors. See section 4 for how to accept or decline analytics cookies.
Information from other sources
We may receive business contact information from publicly available sources, professional networking platforms, referrals from clients or partners, and event organizers, and we may combine it with information we already hold.
3. How we use information
We use personal information for the following purposes:
- To respond to inquiries and communicate with you about your request.
- To provide and manage our services, including preparing proposals, entering into and performing contracts, and managing client and supplier relationships.
- To understand how the Site is used and improve it, using website analytics as described in sections 2 and 4.
- To operate and secure the Site, including monitoring performance, troubleshooting, and detecting and preventing fraud, abuse, and security incidents.
- To send business communications, such as insights or event invitations, where permitted by law. You can opt out at any time using the unsubscribe link in any such message or by contacting us.
- To comply with legal obligations and to establish, exercise, or defend legal claims.
- For other purposes that we describe to you when we collect the information.
We do not use personal information for automated decision-making that produces legal or similarly significant effects on you.
6. International data transfers
Nexus is based in the United States, and our service providers may process information in the United States and other countries. These countries may have data protection laws that differ from those in your country. Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland to a country that has not been recognized as providing an adequate level of protection, we rely on appropriate safeguards, such as the Standard Contractual Clauses approved by the European Commission and the corresponding UK and Swiss mechanisms.
7. Data retention
We retain personal information only for as long as necessary for the purposes described in this policy, including to satisfy legal, accounting, and reporting requirements. As a general guide:
- Inquiries that do not lead to an engagement are retained for up to 24 months after our last interaction with you.
- Client and supplier records are retained for the duration of the relationship and for as long afterwards as required by law or permitted for the establishment or defense of legal claims.
- Website server logs are retained for up to 90 days, unless needed to investigate a security incident.
- Website analytics data collected by Microsoft Clarity is kept for a limited period under Microsoft's standard retention settings for the service.
When information is no longer needed, we delete or anonymize it.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, and destruction, including encryption in transit, access controls, and regular review of our systems and providers. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
9. Your privacy rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access: to know whether we process your information and to obtain a copy of it.
- Correction: to have inaccurate or incomplete information corrected.
- Deletion: to have your information deleted, subject to certain exceptions.
- Portability: to receive your information in a portable format.
- Objection and restriction: to object to or request that we restrict certain processing.

- Withdraw consent: where processing is based on consent, without affecting prior processing.
We will not discriminate against you for exercising any of your privacy rights.
